Safer Recruitment Policy
How we assess people joining Afiléon Motorsport in roles that may involve children or young people.
Last reviewed: 1 October 2026.
1. Purpose
This policy sets out the steps Afiléon Motorsport takes when recruiting staff, volunteers, contractors or regular team personnel whose role may bring them into contact with children or young people. Our aim is to create a safe environment without applying checks that are unnecessary or inappropriate for the role.
2. Scope
The policy applies to people recruited or accepted into Afiléon Motorsport roles where they may have responsibility for, regular contact with, supervision of, or access to children and young people. It also informs how we assess volunteers who may work alongside the family at race meetings, track days, paddocks and other motorsport activities.
3. Role assessment
Before appointing someone, Afiléon Motorsport will consider the nature of the role, whether children are likely to be present, the frequency and nature of contact, whether the person will ever be unsupervised with a child, and whether the role may constitute regulated activity. Roles will be defined clearly enough for applicants to understand the responsibilities and expected standards of conduct.
4. Recruitment and selection
Depending on the role, safer recruitment may include an application or written expression of interest, discussion or interview, confirmation of identity, relevant experience or qualifications, references where appropriate, a self-declaration, and appropriate suitability checks where the role is eligible or requires them. Decisions will be based on suitability for the role and safeguarding considerations as well as technical ability.
5. DBS and suitability checks
Afiléon Motorsport will not request a DBS check merely because children may be present. Where a role meets the legal criteria for regulated activity or is otherwise eligible for an appropriate safeguarding check, the correct check will be required before the person undertakes those responsibilities. Where a role is not eligible for a DBS check but carries relevant responsibility, a proportionate self-declaration, references, supervision or other safeguards may be used.
6. Family involvement
Afiléon Motorsport is family-run and children within the family may regularly attend and take part in appropriate team and event activities. Family involvement does not remove our safeguarding responsibilities. Activities must remain age-appropriate, children must be appropriately supervised, and children must not be placed in hazardous or restricted motorsport environments contrary to circuit, organiser or governing-body rules.
7. External under-18 participation
Where an opportunity is offered to a person under 18 who is not part of the immediate family, Afiléon Motorsport will obtain appropriate parent or guardian consent, explain the activity and supervision arrangements, and apply any additional venue, organiser, insurance, licensing or governing-body requirements before participation.
8. Conduct, induction and supervision
People joining the organisation will be made aware of the Safeguarding Policy, expected standards of behaviour and how to report a concern. New or occasional volunteers will be supervised appropriately. No person will be given unsupervised responsibility for children simply because they have volunteered to help the team.
9. Concerns and information
Safeguarding information will be handled sensitively and shared only where necessary. A disclosure, conviction or other information will not automatically determine an outcome; its relevance to the role, circumstances, legal requirements and safeguarding risk will be considered. Serious concerns may be referred to the relevant governing body, event organiser, safeguarding authority or police.

11. Review
This policy will be reviewed when our activities, staffing, volunteer structure or work with children materially changes, and periodically as safeguarding guidance develops.
