Track-Day & Race-Day Support Terms.
What our paddock support covers, and what we need from you.
Track-Day & Race-Day Support Terms version: 26 October 2026 (v4).
These terms apply when Afiléon Motorsport provides trackside or paddock support for a customer's own vehicle. They should be read with the Booking Terms.
1. Scope of support
Essential Trackside Support
Essential consists only of periodic tyre-pressure checks and adjustments, engine-oil level observations, coolant-level observations using a safe method, a single tyre tread-depth point per tyre before and after the booked support period where measurable, and wheel nut/bolt torque checks using the correct vehicle/wheel-specific specification and a calibrated torque wrench. A brief record of the measurements, limits and concerns is kept. Frequency depends on the booked period, access, sessions and safety. Coolant caps are not opened on hot pressurised systems. Supplied fluids and consumables are not included.
Essential does not include wheel removal, brake inspections or pad measurements, brake/coolant temperature measurements, diagnostic investigations, mechanical adjustments or repairs, paddock gazebo, refreshments or a comprehensive condition report. A centre/single-point tread reading does not assess shoulder wear and is not a whole-tyre condition inspection. Obvious safety concerns will still be reported, and unsafe work may be declined.
Full Trackside Support
Full includes the Essential checks as well as the following more extensive inspections and practical assistance, subject to safety and access. Facilities are subject to circuit rules and conditions. Both tiers receive the same care and safety standards; the difference is the extent of the booked work.
The booked service covers the support stated in your confirmation, which may include paddock attendance, tyre-pressure checks/adjustments, wheel-fastener checks, fluid observations, basic brake and wheel checks, wheel changes, session notes, minor adjustments, basic fault finding, tools and practical paddock organisation.
For Full Trackside Support on a customer-owned vehicle, planned checks include a pre-first-session wheel-off visual inspection of accessible disc brakes, friction-material pad measurements and tyre tread-depth measurements at inner, centre and outer positions on each grooved tyre where safe and practical, appropriate checks between sessions, and an end-of-booked-support-period condition record. Where time, vehicle construction, lifting arrangements and safe brake temperature permit, we repeat accessible brake-pad and tyre-depth readings after the last supported session. Slick tyres may be checked using appropriate wear-indicator points instead of tread grooves where available. We compare readings only where the same tyre and the same measurement points can be confirmed; tyre changes and swapped wheel positions are recorded separately, not presented as measured wear. Detailed before-and-after measurement on half-day packages must be confirmed when booking. If an item cannot be inspected or measured reliably, we record the limitation; no unverified item is marked as passed.
Drum brakes are normally inspected externally or through available inspection apertures; drum removal or invasive repair is additional work requiring prior agreement. Removed wheels are refitted and correctly torqued using vehicle-appropriate procedures. Inspections do not certify roadworthiness, fitness for circuit use, regulatory compliance or that a component is defect-free. We may decline or stop unsafe work, and any identified safety concern must be dealt with before further track use.
For Full Trackside Support only, our heavy-duty temporary enclosed paddock shelter is available only where the organiser permits it and space, conditions and safe setup allow. Complimentary hot tea and coffee, soft drinks and snacks are included. No particular sheltered area, garage allocation or fuel collection is guaranteed.
Fuel collection, if offered for the particular event, must be separately agreed before purchase. We do not take customers’ payment cards. Costs and allowance are agreed in advance and fuel purchasing proceeds only when an agreed funding arrangement is available and safe/legal container, transport, storage and circuit refuelling arrangements can be met. Fuel costs are not included in support package prices; unused prepaid amounts are reconciled in accordance with the agreed arrangement and payment method. Fuel collection is not automatically available through the website booking checkout.
2. What is not automatically included
Parts, tyres, fuel, fluids, consumables, fabrication, welding, major repairs, specialist diagnostics, engine/gearbox rebuild work, recovery and third-party circuit charges are not included unless stated. Additional work will only be undertaken where practical, lawful and reasonably safe.
3. Customer and driver responsibilities
The customer remains responsible for presenting a vehicle that is suitable for the intended circuit use, disclosing known defects and modifications, complying with organiser rules and scrutineering requirements, and ensuring the driver is eligible and properly equipped. The driver remains responsible for the way the vehicle is driven.
4. Driver reporting duty
The driver must report, as soon as safely possible, any unusual noise, vibration, movement, smell, smoke, fluid loss, warning light, braking change, steering change, impact, off-track excursion, missed shift, over-rev or other behaviour that could indicate a developing fault. Where continuing could worsen damage or create a safety risk, the driver should leave the circuit safely and stop rather than continue the session.
5. Checks between sessions
Checks are visual/practical trackside checks within the limits of available time, access and equipment. A check does not prove that every component is fault-free. Heat, load and vibration can cause a fault to arise after a check, so the driver must continue to monitor the vehicle and report changes.
6. Stop/hold recommendations
If Afiléon Motorsport identifies a safety or mechanical concern we may recommend that the vehicle is held, inspected further or withdrawn from circuit use. We will not knowingly assist a customer to continue where we reasonably believe doing so presents an unacceptable risk. The circuit organiser or officials may also stop a vehicle and their instructions take precedence.
7. Track-day versus race-day support
Race-day support can include practice, qualifying and race-session preparation, but the service is not a substitute for official scrutineering, technical eligibility checks, race-engineering services or compliance certification unless expressly agreed. The entrant remains responsible for championship and technical-regulation compliance.
8. Vehicle condition records and photos
We may record baseline condition, tyre tread-depth readings and wear-indicator readings, tyre pressures, wheel-fastener checks, brake observations, fluid levels, setup notes and any incident/damage using written records and photographs. Depth readings have measurement tolerances, and an apparent variation within the tool's reliable resolution is not evidence of measurable wear. These records are operational evidence rather than a guarantee of vehicle condition.
9. Parts, customer-supplied components and instructions
We are not responsible for an inherent defect in a customer-supplied part, tyre, wheel, fluid or component that was not caused by our work. We may refuse to fit or use an item we reasonably consider unsuitable. Customer instructions will not be followed where they would be unsafe, unlawful or contrary to organiser requirements.
10. Damage caused while carrying out support
We will exercise reasonable care and skill when working on or handling the vehicle. We are responsible for direct damage to the extent caused by our negligence or breach of contract. We are not responsible merely because a mechanical component fails during track use where the failure was not caused by our work.
11. No performance or reliability guarantee
Track and race use imposes unusually high loads on vehicles. The support service does not guarantee a lap time, finishing position, fault-free day, circuit acceptance or that a component will last for a particular period. Any recommendation is based on the information and condition reasonably observable at the time.
12. Access, paddock conditions and organiser rules
The customer must provide or arrange the access, passes and paddock permissions required for us to deliver the service. Work is subject to the physical space available, circuit rules and safe working conditions. Organiser, marshal and emergency-service instructions always take priority.
13. Delays, interrupted sessions and event changes
Red flags, weather, circuit closures, timetable changes, vehicle recovery and organiser decisions are outside our control. The booking covers our attendance/service rather than a guaranteed quantity of track time. Where we cannot provide a material part of the booked support for reasons within our control, we will deal fairly with the affected part of the fee.
14. Incidents and evidence
Following an incident, the driver/customer must cooperate with reasonable requests for information, photographs and organiser reports. Afiléon Motorsport may stop work until the vehicle can be assessed safely. Any additional repair, transport, recovery or parts work will be agreed separately where practicable.
15. Liability and statutory rights
Nothing in these terms excludes liability that cannot lawfully be excluded. Consumer services are provided with reasonable care and skill. These terms do not transfer responsibility for Afiléon Motorsport's own negligence to the customer.
16. Cancellation and contact
Payment, cancellation and rescheduling are governed by the Booking Terms. Questions or incident follow-up can be sent to team@afileonmotorsport.co.uk.
